Ms Zeqiraj, as a hotel that organises events, what are your biggest challenges?

«The biggest challenge is that people are much more spontaneous these days and often only register for events at very short notice compared to a few years ago.»

What special events do you offer at Christmas and on New Year’s Eve?

«On Christmas Eve and during the Christmas holidays, Sebastian Zier and Richard Schmidtkonz present an exquisite 7-course lunch and dinner menu. Perfectly paired wines complete this culinary experience. We also offer a special Christmas menu in the Bistro St.Gallen. On New Year’s Eve, we invite you to three special events: a festive 8-course gourmet menu, a cosy Fondue Chinoise in the Bistro St.Gallen and an elegant ball with live music and an exquisite 5-course menu.»

What do you pay particular attention to when preparing your Christmas and New Year’s Eve events?

«When preparing our Christmas and New Year’s Eve events, we place particular emphasis on offering an unforgettable experience with exquisite food. We know from experience that our guests at the New Year’s Eve ball particularly appreciate live music and a spacious dance floor.»

How did you manage your events before the introduction of e-guma, and what has changed with the e-guma ticket system?

«The use of e-guma has significantly reduced the workload, as many processes are now automated. We used to have to make do with tedious Excel lists; now everything is available centrally and clearly in a single system. We have all the guests’ contact details at our fingertips, doing away with the need for manual credit card charges. The entire process is now much more efficient for all departments involved. Employees can access event participant lists independently at any time without having to rely on a specific internal department.»

How do you find recording your events in the e-guma ticket system?

«Recording events in the e-guma ticket system is simple and straightforward. Different settings can be assigned individually for each event. Recurring events can be easily copied so that we don’t have to re-enter all the data every time. We can also design the front end entirely in line with our corporate design.»

How does e-guma facilitate your popular cocktail courses?

«With e-guma, we can easily put our cocktail courses online and handle ticket sales efficiently. On the day of the event, we simply download the list of participants and compare it with the tickets on hand. If a rebooking is necessary, it can be done quickly and easily with e-guma.»

How do you advertise your Christmas and New Year’s Eve events?

«To effectively promote our Christmas and New Year’s Eve events, we use a combination of our website, social media, newsletters, adverts and internal screens.»

How do you handle cancellations? Do you give refunds?

«We set a deadline by which tickets can be cancelled and refunded free of charge. With e-guma, it is also very easy to rebook tickets for another event.»

Is it worth using a seating plan and how does this simplify event organisation?

«Our experience with the seating plan has been extremely positive. For the St.Gallen Comedy Night, which we are organising for the second time, the seating plan is proving to be the ideal solution. It allows our guests to choose their own seat when booking their ticket – something that is often requested at such events. For us as organisers, the seating plan offers the additional advantage that it enables us to block book seats in advance, for example for sponsors or VIP guests.»
